What an invoice is
An invoice is a payment request. It documents the work, products, services, tax, discounts, payment terms, and amount due.
For freelancers and contractors, the best invoice is simple enough for the client to approve quickly and detailed enough to answer common payment questions.
What to include on an invoice
Include your business name and contact details, client details, invoice number, invoice date, due date, line items, subtotal, tax, discounts, total due, notes, and payment instructions.

Invoice number examples
Use a consistent numbering pattern that you can search later. Simple examples include INV-1001, 2026-001, ACME-2026-014, or HANDYMAN-0526-03.
Avoid reusing the same invoice number for different clients because it makes payment follow-up and recordkeeping harder.
Line item examples
Line items should describe the actual work. A handyman might use labor, materials, trip charge, and disposal. A designer might use design sprint, revisions, and launch support.
If a client could reasonably ask what a charge means, split it into a clearer line item before sending the invoice.
Payment terms
Payment terms tell the client when payment is expected. Common terms include due on receipt, Net 7, Net 15, and Net 30.
Put both the term and the due date on the invoice when possible. A visible due date reduces ambiguity.
Common mistakes
The most common invoice mistakes are vague work descriptions, missing payment instructions, no due date, missing invoice number, and totals that do not match the agreed scope.
